We are looking for a proactive and highly organized Office Manager (part-time or full-time) to co-manage our Hamburg office, the headquarters of Freenow.
Hamburg is home to many of our senior stakeholders and serves as the main hub our employees travel to for collaboration, leadership meetings and company-wide moments. This makes the role both highly visible and impactful. Together with another Office Manager, you will ensure our headquarters runs seamlessly and reflects the energy, professionalism and culture of Freenow.
As we continue to strengthen our hybrid working model, our office becomes more than just a workplace, it's the central hub for connection, collaboration and culture. You will help create an environment where employees and visitors feel welcome, supported and inspired.
In addition, you will act as the main point of contact for our subtenants and serve as a key liaison with our landlord, ensuring smooth communication and professional space management across the entire office.

YOUR DAILY ADVENTURES WILL INCLUDE:

  • Co-managing the Hamburg headquarters together with another Office Manager
  • Acting as a representative of the Hamburg office internally and externally
  • Serving as the main point of contact for subtenants, ensuring smooth communication and coordination
  • Managing and nurturing the relationship with our landlord and building management
    Supporting senior stakeholders and leadership visits, ensuring a professional and seamless experience
  • Ensure smooth onboarding and off-boarding of Hamburg-based employees; including hosting Onboarding orientations for new joiners
  • Overseeing vendors, suppliers and service providers to ensure smooth day-to-day running of the office
  • Managing office budgets, payments, invoices and cost tracking
  • Organizing team events, socials and company-wide activations hosted in Hamburg
  • Ensuring the office environment remains welcoming, well-maintained and aligned with our brand and culture
  • Provide support to our colleagues based in the Paris office

TO BE SUCCESSFUL IN THIS ROLE:

  • Thrive in a fast-paced, dynamic and evolving work environment
  • Enjoy working collaboratively while taking full ownership of your responsibilities
  • Be confident interacting with senior stakeholders and leadership
  • Have experience in office management, facilities coordination, event management, customer service, executive assistance or community management (preferred)
  • Be comfortable managing external stakeholders such as landlords, building management and subtenants
  • Bring strong organisational skills and attention to detail
  • Have a proactive, solution-oriented mindset and the ability to anticipate needs
  • Have excellent written and verbal communication skills
  • Language Requirements: fluent in both German and English is required
  • Takes full ownership of their onboarding and development in the role, proactively building relationships with Office Managers in other regions to learn best practices
