Position Overview

The Event & Marketing Specialist provides essential support in executing high-quality events and marketing initiatives across the Tampa Bay Times and its affiliates. Working under the Event Production & Marketing Manager, this role manages day-to-day logistics, campaign execution, sponsor deliverables, administrative tasks and donor management system oversight. The Event & Marketing Specialist plays a key role in producing compelling communications, building engagement and ensuring that events and marketing efforts align with organizational goals, philanthropic programs and news initiatives. This is a hands-on, detail-oriented role ideal for someone with strong communication skills, creative problem-solving abilities and a passion for both event logistics and strategic marketing execution. The role requires on-site presence at events, including setting up, tearing down and managing event aspects. This hybrid position requires regular on-site presence for events.

Key Responsibilities

  • Assist with planning and executing events, including logistics, vendor coordination, scheduling and on-site support.
  • Set up, manage and tear down event spaces, ensuring smooth operations from start to finish.
  • Support coordination of event timelines, communications and asset preparation (run-of-show, briefing documents, signage, scripts).
  • Support fulfillment of sponsorship deliverables, ensuring accuracy and timely execution.
  • Coordinate with internal teams to align event needs with editorial, philanthropy and business development priorities.
  • Create and write content for press releases, email campaigns, social media, event promotions, website updates and other marketing materials.
  • Maintain an organized editorial and content calendar across channels.
  • Draft clear, compelling messaging that supports event attendance, audience engagement and brand visibility.
  • Assist with graphic asset coordination, working with designers or templates to produce on-brand materials.
  • Publish and schedule content across marketing platforms with consistency, accuracy and attention to detail.
  • Maintain and update donor management system records to ensure accurate tracking of donor interactions, sponsorships and event participation.
  • Manage internal processes for creative asset requests, trafficking design materials to internal and external teams.
  • Support general administrative functions, including meeting coordination, calendar management and documentation of workflows.
  • Assist with budget tracking, invoice processing and vendor communications as needed.
  • Craft audience-focused copy for diverse mediums, maintaining consistent voice and brand standards.
  • Translate complex information into clear, accessible and engaging language.
  • Proofread and quality-check all written content to ensure accuracy and professionalism.
  • Prepare internal communications, event summaries, sponsor recaps and partner-facing materials as needed.
  • Track metrics for events, email campaigns, social media performance and audience engagement.
  • Assist in preparing reports and dashboards that summarize key findings and recommendations.
  • Support A/B testing, tracking and optimization of campaign performance.
  • Maintain accurate databases and documentation related to events, sponsors, marketing activities and donor records.
  • Work closely with the Event Production & Marketing Manager to support project workflows and deadlines.
  • Collaborate with editorial, philanthropy and sponsorship teams to ensure alignment across initiatives.
  • Participate in cross-departmental planning sessions and provide timely updates on tasks and deliverables.

Required Qualifications

  • Bachelor’s degree in marketing, communications, public relations, event management or related field.
  • 1–3 years of experience in marketing, events, communications or similar roles (internships included).
  • Excellent writing, editing and communication skills with a strong attention to detail.
  • Experience with email marketing tools, social media platforms and event management software.
  • Strong organizational and project management abilities with consistent follow-through.
  • Ability to work in a fast-paced environment and handle multiple deadlines simultaneously.
  • Basic understanding of marketing analytics and comfort working with data to inform decisions.
  • Experience supporting events, sponsor deliverables or multi-team projects is a plus.
