Job Overview

This is a high-level technical administrative role designed for a "systems thinker" who values process over people. You will be the architect of the company’s digital efficiency, transforming manual workflows into automated powerhouses using the Microsoft 365 ecosystem and Simpro. Our client is looking for a proactive operator who doesn't just follow instructions but identifies inefficiencies and builds the solutions to fix them. You will work directly with the Director to offload recurring tasks, document strategic rationale, and ensure the business runs on robust, scalable systems rather than individual effort.

Client Overview

Our client is a results-oriented organization (likely within the trade or manufacturing sector) that utilizes Simpro as its core business management software. They are currently undergoing a digital optimization project to streamline operations, enhance data integrity, and leverage AI. The company culture is direct, serious, and committed to accountability, valuing high-speed execution and the "continuous improvement" mindset.

Responsibilities

Automation & Systems Development

  • M365 Configuration: Systematically build and configure Microsoft Forms based on complex schemas and requirements.
  • Workflow Automation: Coordinate with third-party Simpro support to integrate Power Automate flows with relevant data registers and business systems.
  • Innovation: Proactively research and implement new automation opportunities within the M365 ecosystem (and tools like Zapier/N8N) to eliminate manual bottlenecks.
  • Testing & Maintenance: Conduct UX testing on all new digital forms and maintain existing tools to ensure 100% uptime and relevance.

Data Intelligence & Reporting

  • Simpro Analytics: Streamline data extraction and reconciliation, specifically managing CSV data from Simpro Business Intelligence.
  • Reporting: Generate and distribute critical metrics, including Simpro hours usage reports, to the management team.
  • Dashboards: Assist in creating and maintaining business status dashboards to provide actionable data for the Director.

Strategic Operations & Documentation

  • SOP Architecture: Create comprehensive Standard Operating Procedures (SOPs) for all VA-managed tasks and new digital processes, capturing both the "how" and the "why."
  • Knowledge Management: Develop and maintain a searchable knowledge base of operational best practices and business logic.
  • Project Coordination: Manage documentation, track progress, and coordinate meetings for strategic digital optimization initiatives.
  • Simpro Admin: Perform core administrative tasks within Simpro, including job setups, conversions, and receipting goods.

Requirements

  • Proven Experience: Significant background as a Virtual Assistant or Operations Support, ideally within manufacturing or trade industries.
  • M365 Expert: Advanced proficiency in Microsoft Forms and Power Automate is non-negotiable.
  • Simpro Power User: Familiarity with Simpro, BI tools, Syncasy, or Aloka is highly advantageous.
  • Technical Logic: Strong understanding of APIs and data integration concepts for cross-platform automation.
  • Meticulous Documentation: A disciplined approach to process mapping and record-keeping.
  • Problem Solver: A proactive mindset that prioritizes efficiency and systems-based solutions.
  • Communication: Excellent written and verbal English for collaborating with external technical partners and internal leadership.

Side Note

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own high-spec computer and reliable internet connection and are responsible for their own taxes and benefits.
