Universe Machine Corporation has been trusted since 1965 to manufacture, modify and repair metal products for heavy industry, and provides a wide range of specialized products and services in its three divisions located in a modern facility incorporating over 100,000 sq. ft. in Edmonton, Alberta.

Our Valve Repair and Modification Division includes the largest facility of its kind in Canada. As the “authorized” repair/modification center for numerous valve companies, and the only Canadian Company that is a member of the Valve Repair Council, Universe offers diverse and specialized services ranging from hydrotesting, trim changes and extensions to full valve refurbishing back to OEM specifications. Universe Engineering services provide CRN# and certified processes accordingly.

Position Type: Permanent, Full-Time
Education Required: High School Diploma
Experience Required: None required (technical experience is an asset)

About the Role

We are seeking a motivated and detail-oriented individual to join our team as a Customer Service & Document Control team member. This position plays a key role in supporting daily operations, coordinating orders, maintaining accurate documentation, and building strong relationships with customers in the valve repair and modification industry.

Key Responsibilities

  • Assist with preparing and processing sales orders and work orders
  • Monitor order scheduling and progress to ensure timely completion
  • Communicate with foremen and shop staff regarding job status and delivery timelines
  • Advise customers on current or revised delivery dates
  • Build and maintain strong customer relationships related to valve repair and modification services
  • Maintain and manage document control systems and records
  • Monitor open sales orders and ensure shipped orders are closed, invoiced, and removed from tracking dashboards
  • Issue materials as required
  • Provide purchasing coverage when required
  • Support the Division Manager with additional administrative and operational tasks as needed

Qualifications

  • High School Diploma required
  • Strong organizational and time management skills
  • Excellent communication and customer service skills
  • Comfortable working in a fast-paced environment
  • Detail-oriented with strong administrative abilities
  • Proficient with computers and basic office software
  • Technical or manufacturing experience is considered an asset, but not required
