Position Summary We are seeking a strategic, operations‑minded Chief of Staff to work directly with the CEO. This pivotal role blends executive support, project management, client relations, and business development. You'll be the CEO’s right hand—managing internal operations, streamlining communication, ensuring strategic initiatives are implemented, and representing the company in client‑facing settings. This is a part‑time role (10–20 hrs/week). Key Responsibilities Executive Support - Manage the CEO’s calendar, schedule meetings, and track deadlines across departments. - Create and maintain internal documentation including SOPs, meeting agendas, and status updates. - Monitor project pipelines ensuring timelines are met from Discovery to Final Interview and Post‑Placement touchpoints. - Provide leadership in internal communication, task delegation, and follow‑up on operational goals. Client Management & Onboarding - Participate in Discovery Calls to understand client needs and translate them into actionable hiring workflows. - Guide clients through the onboarding process—from Trello setup to job description approval and final interviews. - Ensure clarity around expectations, timelines, and deliverables for each client. - Maintain high‑touch communication with clients throughout the sourcing and onboarding lifecycle. Talent Acquisition Oversight - Coordinate with recruitment to align hiring tasks with client timelines. - Oversee the full candidate pipeline: video assessments, interviews, final interview scheduling, and candidate profile submissions. - Review and improve hiring workflows based on client feedback and internal metrics. Internal Team Coordination - Act as a liaison between CEO, recruitment, HR, and marketing. - Track performance metrics and ensure SOP adherence across hiring stages. - Contribute to internal team feedback and process improvement initiatives. Sales Support & Client Expansion - Support outreach to warm leads and dormant accounts through CRM (GoHighLevel). - Monitor sales pipeline, update lead statuses, and follow up on discovery or final interviews. - Assist with gathering testimonials and referrals post‑placement. Key Qualifications - 3+ years experience in Chief of Staff, Executive Assistant, Operations, Client Services, or Program Management roles. - Proven ability to manage cross‑functional workflows in a fast‑paced, startup environment. - Excellent English communication—verbal and written. - Experience with CRMs (GoHighLevel), and Google Workspace required. - Demonstrated leadership and critical thinking skills. - Comfortable working U.S. business hours (10 AM to 2 PM EST, Monday to Friday).
