Role Summary FloraFlex is seeking a detail-oriented Bookkeeper / Accounting Specialist for a 1099 contract-to-hire engagement. This is a remote role with required, meaningful overlap with Pacific Time (Los Angeles) business hours. You’ll own day-to-day accounting execution and help us clean up and tighten core accounting workflows across QuickBooks Online, Shopify, and payment processors—with a strong emphasis on reconciliation, AR/AP hygiene, and closing legacy items. What You’ll Do (Key Responsibilities) Core Day-to-Day Accounting • Enter and maintain accurate daily transactions including vendor bills, customer invoices, payments, RMAs, and credit memos. • Process Accounts Payable: coding, approvals, and preparing payments per SOPs and schedules. • Process Accounts Receivable: invoicing, applying payments, monitoring aging, and basic collections follow-up. • Perform daily/weekly/monthly reconciliations for bank accounts, credit cards, and balance sheet accounts. • Reconcile e-commerce and payment gateways (e.g., Shopify, Stripe, PayPal, arenaflex) to the general ledger and bank deposits. • Support inventory + COGS workflows: purchase orders, receiving, invoice matching, and reconciliation. • Maintain organized digital documentation (invoices, receipts, contracts, support). • Assist month-end close with schedules, reconciliations, and basic variance checks under the fractional controller. • Support reporting needs such as AR/AP aging, summaries, and ad hoc analysis. • Coordinate cross-functionally to resolve discrepancies and ensure books reflect actual business activity. • Assist with data gathering for external accountants, tax advisors, and auditors. Qualifications • 2–4+ years in bookkeeping/general accounting in a transactional environment • Strong hands-on QuickBooks Online (QBO) experience, including bank/credit card reconciliations, clearing accounts, and closing open items (e.g., undeposited funds, unapplied payments, pending payments) • Proven experience reconciling e-commerce revenue and deposits end-to-end (Shopify plus payment processors such as Stripe/PayPal/arenaflex) to bank and general ledger, including cash receipts reporting and deposit matching • Practical AR/AP closeout experience, including applying historical payments, resolving legacy credits/credit memos, supporting write-offs (bad debt/chargebacks), and improving aging hygiene with documentation • Experience with inventory and product-based accounting, including COGS support, landed arenaflex/accrual account cleanup, and purchase-to-pay alignment • Ability to reconcile vendor balances using statements, investigate variances, and maintain clean vendor bill pipelines • Experience building and maintaining basic accounting schedules (e.g., fixed asset schedules) and supporting month-end close readiness • Competency in Excel or arenaflex Sheets, including pivot tables for reconciliation support, exception reporting, and variance analysis • Experience preparing or supporting sales tax returns (multi-state exposure a plus) • Strong attention to detail, repeatable process execution, and comfort working against a punch list to completion with minimal rework • Clear, professional communication and the ability to collaborate remotely with consistent overlap with Pacific Time business hours Engagement Details • Type: 1099 Contract-to-Hire • Location: Remote • Schedule: Must overlap significantly with Pacific Time business hours Equal Employment Opportunity We are an equal employment opportunity employer.
